PTWs should be issued to any and all contractors who are undertaking manual work at your office; you should issue this each time they do work unless they are there on a permanent basis (for example, a handyman - in which case complete one for all the work generally carried out and issue a new one if there is ever any new / different work such as hot works). It's recommended that you share your Health & Safety policy / procedures and crucially, your fire evacuation plan and procedure with contractors prior to them commencing work.

The contractor can complete the majority of this, sharing with you their RAMS and public liability insurance certificate / To Whom it may Concern letter to proof their limit of cover - check the PTW on return, sign and complete once the works have been completed.
